Housing Services Clerk

JOB PURPOSE:

Responsible for providing administrative/clerical support for the effective and efficient of the ongoing day-to-day activities of the Housing Services Department.

EDUCATION AND WORK EXPERIENCE:

High School diploma and some college preferred. Three years clerical/data entry experience, residential building construction experience/background a plus.

KNOWLEDGE AND SKILLS:

Typing speed of 60-75 wpm. Excellent oral and written communication skills are essential. Must have exceptional customer service skills; must be computer literate and proficient in the use of Microsoft word processing and spreadsheet software applications.transportation and insurance as required by the State of Illinois.

DUTIES AND RESPONSIBILITIES:

1. Responsible for interviewing clients, assisting with the completion of the Weatherization/LIHEAP & Ameren Incentive application;

2. Must know the eligibility requirements and the services provided under each of the contracts managed by the Housing Services Department;

3. Responsible for notifying Housing Services customers of the following:

a. The status of the application submitted,

b. For those that are approved for assistance, the preliminary date of the audit/assessment;

c. When the assessment is completed, the anticipated date of the mechanical contractor completing their tasks and the anticipated date of the architectural contractor completing their tasks.

4. Responsible for maintaining accurate client files in accordance with the eligibility requirements of the funding sources contracting with PCCEO;

5. Prepare routine internal and external documents required by the funding sources and PCCEO’s management;

6. Responsible for completing purchase orders timely and accurately;

7. Assist with preparation and transmittal of monthly program reports to the President/CEO;

8. Maintain accurate files and reference data pertinent to the programmatic and financial activities of the Housing Services programs;

9. Review, under the guidance of the Housing Service Manager, assessments within the weather works system to insure information and measures are entered accurately and provide maximum energy efficiency;

10. Will generate purchase orders for materials and contractor payments accurately and in accordance with vendor terms;

11. With the assistance of the Housing Services Manager, reconcile work orders to the invoices submitted by the architectural and mechanical weatherization contractors;

12. Participate in seminars/workshops regarding the Weatherization Program.

Accounts Payable Clerk

Department: Accounting

JOB SUMMARY:

Responsible for maintaining the Accounting office’s data systems by providing clerical assistance as needed under the guidance of the Chief Financial Officer and Assistant Director of Accounting. Also responsible for accounts payable in commune with the vendors and the programs, to increase payment performance on behalf of PCCEO, Inc.

PREFERRED REQUIREMENTS:

  • High School graduate with at least nine semester hours of college, preferably in college;
  • One or more years of accounting experience.

KNOWLEDGE AND SKILLS:

  • Knowledge of basic file maintenance system;
  • Computer literacy is essential, and Microsoft Office.

DUTIES AND RESPONSIBILITIES:

  • Receive and distribute all incoming department mail.
  • Prepare accounts payable documents, checks, cash disbursement journal and check distribution.
  • Act as a liaison between vendors and programs to ensure timely payment through vendor statement reconciliation and follow-up.
  • Reconcile assigned bank accounts monthly.
  • To provide strict compliance with deadlines and assignments.
  • To maintain confidentiality of information received by the Accounting Department, recorded in PCCEO meetings and/or contemplated by the Administrative staff.
  • Post all entries and journals after necessary corrections have been made.

Warehouse Services Assistant

JOB SUMMARY:

Warehouse Assistant is responsible for assisting the Peoria Area Food Bank staff with the day to day operations of the warehouse. This position will be required to pick-up and deliver food products, lift, walk, and carry weight up to 70 pounds on a regular basis, as well as operate warehouse equipment and commercial driving.

EDUCATION AND WORK EXPERIENCE:

High School or equivalent. At least two years warehouse, truck driving and forklift work experience preferred.

RECOMMENDED REQUIREMENTS:

  • Must be able to drive trucks and operate fork lift;
  • Must be able to load and unload delivery trucks lifting up to 70 pounds;
  • Must be able to provide excellent customer service to food pantry customers;
  • Must pass drug screen and criminal records check;
  • Must be able to receive, and check all incoming products used in warehouse;
  • Must efficiently fill food pantry orders;
  • Must perform occasional janitorial duties;
  • Must be able to perform the essential duties of the job description;

State of Illinois 04 Certified Early Childhood Teacher

JOB SUMMARY:

The Early Childhood Teacher is under the supervision of the Education Coordinator for the Head Start program and ensures the growth and development of the children enrolled in the Early Childhood Program.

General Accounting Clerk

JOB SUMMARY:

Responsible for assisting in the maintenance of the Accounting Department data system, data entry into MIP system, and providing clerical assitance as needed under the guidance of the Director of Accounting.

PREFERRED REQUIREMENTS:

  • BS in Accounting or Business Administration with at least 12 hours of Accounting;
  • Three or more years accounting experience;
  • Must pass drug screen and criminal records check;
  • Knowledge of Generally Accepted Accounting Principles;
  • Budget preparation and maintenance experience;
  • Proficiency in Excel, Word, and other Microsoft Office applications;

DUTIES AND RESPONSIBILITIES:

  • Prepare monthly general ledger and summary budget report for the Program Managers review. Review for accuracy and discrepancies.
  • Reconcile assigned bank accounts.
  • Assist Director of Accounting in preparation of revenue versus expense analysis for assigned programs.
  • Prepare reports required by funding sources for assigned programs.
  • Review monthly in-kind reports for accuracy and compliance and record appropriate entries.
  • Process weekly DCEO cash requests.
  • Process weekly transfer checks for accounts payable processing, credit card transfers, and indirect cost reimbursements.
  • Responsible for grant folder maintenance including grant awards, budgets, correspondence, reporting, and closeout packages.
  • Responsible for checking all unposted batches prior to posting in MIP including but not limited to accounts payable, cash receipts, and journal vouchers.
  • Responsible for physical inventory and electronic tracking/reporting in MIP.
  • Assist the Director of Accounting in preparation and completion of the annual audit and program monitoring visits.

JOB SUMMARY:

This position will be directly responsible for the safe transportation of Head Start children to and from specified locations.

EDUCATION AND WORK EXPERIENCE:

High School Diploma or GED equivalent.  Must have a valid Illinois School Bus Permit and CDL. Must participate in no less than 15 professional development hours per year – to be documented in Gateway Excelerate profile.

KNOWLEDGE AND SKILLS:

Knowledge of the Federal Communication Commission (FCC) Radio Communication Codes.

DUTIES AND RESPONSIBILITIES:

  • Ensure the safe delivery of all passengers to their prearranged destination.
  • Maintain control at all times of the vehicle and its passengers to assure safe passage, regardless of adverse conditions or the improper actions of others.
  • Maintain proper licenses, permits and training as required by state and local authorities.
  • Secure state certification on all traffic and safety laws of the DOT and DCFS.
  • Check daily the operational functions/features of his/her assigned vehicle and notify supervisor of problem areas or take corrective action.
  • Assure the safekeeping and operation of all safety equipment, i.e. flares, first aid kit and fire extinguisher.
  • Maintain all areas of confidentiality concerning matters relating to Head Start children, families and the Head Start program.
  • Must be able to perform the essential duties of the job description.
  • Must have and maintain a valid Illinois Driver’s license, reliable transportation and insurance coverage as required by the State of Illinois.
  • 10. Effectively executes and meets performance requirements of all other duties assigned when not on the bus.

  • A State awarded certificate for infants/toddler teachers that meets or exceeds the requirements for a child development associate credential; or
  • Completion of the credentialing program of the CDA National Credential Award System with a current CDA credential with infant/toddler center base endorsement; and
  • Prior experience working with infants and toddlers’ and
  • Must be able to perform the essential functions of the job description;
  • Must have and maintain a valid Illinois Driver’s License, reliable transportation and insurance coverage as required by the State of Illinois.
